Office and Marketing Assistant

Reports to: CEO & Marketing Manager
Position: Part-Time (with possibility of full-time)

Job Summary:

The Office & Marketing Assistant will perform various routine clerical duties to support the organization as a whole; however, primary support is directly to the CEO’s office and Marketing & Office Administration department.

Supervisory Responsibilities:

None.

Duties / Responsibilities:

  • Demonstrates knowledge of marketing practices, trends, software applications and systems, and
    social media platforms
  • Demonstrates creativity and innovation through graphic design and branding
    Performs clerical duties including typing, filing, and completion of simple forms
  • Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment
  • Serves as the receptionist for the office, greeting visitors and applicants
  • Answers phones, routes calls to appropriate individuals, and prepares messages
  • Copies, sorts, and files records related to office activities, business transactions, and other
    matters
  • Prepares letters, memos, forms, and reports according to written or verbal instructions.
  • Sorts incoming mail and delivers to appropriate department or individual; processes outgoing mail.
  • Maintains filing systems either manually or electronically.
  • Manages calendars and schedules appointments.
  • Makes trips to the post office and or local businesses for business purposes.  *use of personal vehicle covered by insurance*
  • Performs other related duties as assigned.

Required Skills / Abilities:

  • Listens effectively, possesses great integrity, and willing to learn
  • Ability to type at least 45 words per minute.
  • Strong verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.

Education / Experience:

  • Marketing degree in progress (preferred)
  • Some completion of Marketing courses and/or experience (preferred)
  • High school diploma or equivalent (required)
  • Clerical experience (preferred)

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
